Organizing with Folders

Create folder structures to organize your contracts by department, client, project, or any criteria.

Keep your contracts organized with DealView's flexible folder system.

Creating Folders

  1. Navigate to Contracts
  2. Click New Folder in the sidebar
  3. Enter a folder name
  4. Press Enter or click Create

Folders appear in the sidebar for quick navigation.

Folder Structure Ideas

By Department

Combine structures using nested folders: Clients/Acme Corp/NDAs

Moving Contracts

Single Contract

  1. Click the contract row
  2. Drag to the target folder in the sidebar
  3. Or right-click → Move to Folder

Multiple Contracts

  1. Select contracts using checkboxes
  2. Click Move in the bulk actions bar
  3. Choose the destination folder

Nested Folders

Create subfolders for deeper organization:

  1. Right-click a folder
  2. Select New Subfolder
  3. Name the subfolder

Maximum depth: 5 levels.

Folder Actions

Right-click any folder to:

  • Rename - Change the folder name
  • New Subfolder - Create a child folder
  • Move - Relocate to another parent
  • Delete - Remove (moves contracts to root)
  • Permissions - Set access controls (Pro+)

Folder Permissions

On Professional+ plans, restrict folder access:

  1. Right-click the folder
  2. Select Permissions
  3. Add users with access levels:
    • Full Access - View, edit, delete
    • Edit - View and edit
    • View Only - Read-only access
  4. Save changes
Inheritance

Subfolder permissions inherit from parent folders by default. Override by setting explicit permissions.

Searching Within Folders

Limit search to a specific folder:

  1. Click the folder to view its contents
  2. Use the search bar - results are scoped to that folder
  3. Or use the filter: Folder is [folder name]

Default Folder for Uploads

Set where new uploads go:

  1. Go to SettingsWorkspace
  2. Find Default Upload Folder
  3. Select your preferred folder
  4. Save changes

New uploads will automatically go to this folder.

Best Practices

  1. Plan first - Design your structure before importing contracts
  2. Keep it simple - Avoid overly deep nesting (3 levels max recommended)
  3. Use consistent naming - Establish naming conventions for folders
  4. Review regularly - Archive old folders, consolidate duplicates
  5. Document structure - Share folder organization with your team

Deleting Folders

When you delete a folder:

  • Contracts move to the root level (not deleted)
  • Subfolders are also deleted
  • Action cannot be undone

To delete:

  1. Ensure folder contains no critical contracts
  2. Right-click → Delete
  3. Confirm the deletion
